The Playbook Board
What "using AI to run your business" actually looks like. Every play opens a step-by-step guide with the whole process and the result up front. Start at Level 1 tonight.
Your AI Second Brain
Teach your assistant your market, voice, and rules one time. Every other play on this board assumes it exists.
Open the guideAsk questions of your own database, and let dossiers and tasks land where you work. Three paths, from built-in AI to the universal export loop.
Morning briefs, showing-day plans, and follow-up scaffolding from the calendar you already keep.
Your assistant builds a polished page for your farm, wired to your CRM, worth every QR code you print.
The 5 Prompts
Tap a prompt to open it, copy it into whatever AI assistant you use, and replace the [bracketed] parts with your details. That's it.
1One Listing to a Full CampaignSphere email, three captions, and an open-house angle in one pass
You are my real estate marketing assistant. Create a complete launch package for this new listing. LISTING: - Address / area: [neighborhood or street, city] - Price: [$] - Beds / baths / size: [e.g. 4 bed / 3.5 bath / 4,200 sqft] - 2-3 standout features: [e.g. resort pool, chef's kitchen, quiet cul-de-sac] - One lifestyle hook: [e.g. walkable to the village, entertainer's backyard] - My voice: [warm and personal / polished and concise / high-energy] Produce, clearly labeled: 1. A short "just listed" email to my database (subject line + 120-150 words), ending with a soft "know someone who'd love it?" ask. 2. Three social captions with different angles: feature-forward, lifestyle, and scarcity. Add 3-5 relevant hashtags each. 3. An open-house angle: a one-line hook, three talking points, and one question that starts a conversation with every buyer who walks in. Keep fair-housing safe: describe the home and lifestyle, never the ideal buyer or neighborhood demographics.
2Conversation to Client Dossier + TasksMessy notes in, a clean one-page record and task list out
You are my executive assistant. Below are my raw notes / transcript from a client conversation. Turn them into a clean, one-page dossier I can attach to their record. CONVERSATION: [paste your messy notes or voice-note transcript here] Extract and label clearly: 1. Must-haves (non-negotiable requirements) 2. Nice-to-haves (don't filter on these) 3. Dealbreakers (what eliminates a property) 4. Timeline + key dates 5. Financing context (budget, pre-approval, lender) 6. Privacy / communication preferences 7. Lifestyle & family details worth remembering 8. Open questions I still need to answer Then give me a NEXT-ACTION TASK LIST: each task with an owner (me / lender / client) and a deadline. Only use what's in the notes. If something wasn't mentioned, mark it "not discussed" - do not guess.
3Next-Best-Action QueueWho to reach out to, when, and how
You are my business-development assistant. Below is a list of contacts from my CRM (client database). For each one I've included the last time we talked, their role, and one recent note. CONTACTS: [paste 10-20 rows: name | role (past client / referral partner / active lead) | last contact date | one recent note] For each contact, recommend: 1. The single next action (call, text, email, drop-by, handwritten note) 2. Why now (the trigger) 3. A suggested timeframe (today / this week / this month) Then rank the top 5 I should do FIRST and explain the ranking in one line each. Do not write the messages - just the action plan. I'll decide what to say.
4Neighborhood Market-Update PostLocal numbers into a value post + sphere email
You are my content assistant. Turn these local market numbers into a value-first update for my audience - not a sales pitch.
AREA: [neighborhood / zip]
NUMBERS (most recent I have):
- Median sale price + year-over-year change: [ ]
- Active listings / months of supply: [ ]
- Average days on market: [ ]
- One notable trend: [e.g. cash buyers, new construction, low inventory]
Produce:
1. A short social post (100-130 words) that explains what these numbers mean for a normal buyer or seller, in plain English. One clear takeaway.
2. A matching email to my database with a subject line and a soft call to action ("reply if you want the full picture for your street").
Neutral, factual, fair-housing safe. Cite the numbers as "recent local data," and remind me to double-check figures before posting.
5Weekly Transaction Status BriefA calm client update and an internal checklist, so nothing slips
You are my transaction coordinator. Based on the deal details below, write two things. DEAL: - Property / client: [ ] - Contract date & closing date: [ ] - Key upcoming deadlines: [option period, financing, appraisal, inspection, etc.] - What's done / what's pending: [ ] - Any issues or risks: [ ] Produce: 1. A CLIENT-FACING weekly update (short, reassuring, plain English): what happened this week, what's next, anything I need from them. 2. An INTERNAL action checklist for me: every open item with a deadline and who owns it, flagging anything at risk of being late. Keep the client version free of jargon. Keep the internal version blunt.
The Two Demo Recipes
Repeat today's live demos cold, on your own listing and your own client. Both use prompts from the Prompts tab.
Recipe A: Listing to Campaign
- 1Open your AI assistant. Copy Prompt 1 from the Prompts tab.
- 2Fill the brackets with one real listing (yours or a colleague's).
- 3Run it. Read the email, the three captions, and the open-house angle.
- 4Edit to sound like you. AI gets you 80% there; your voice does the rest.
- 5Send the email to your sphere and post one caption today. Done beats perfect.
Recipe B: Conversation to Dossier
- 1Right after a call or showing, dump your rough notes (or record a 60-second voice memo and transcribe it).
- 2Copy Prompt 2 and paste your notes into the brackets.
- 3Run it. You'll get a one-page dossier plus a task list.
- 4Scan it for accuracy and fix anything the AI misread.
- 5Attach the dossier to the client's record and drop the tasks into your CRM. Never lose a detail again.
A Starter Tool List
Organized by the job, not the brand. Pick one per row and learn it well before adding more.
Your everyday chat tool for the prompts. Popular options: ChatGPT, Claude, Gemini, Copilot.
Records and transcribes calls and showings so you can feed them to Prompt 2. Options: Otter, Fathom, Fireflies, or your phone's voice memos.
Queues the captions you generate so posting is one weekly task. Options: Later, Buffer, Metricool, or your CRM's built-in scheduler.
The home base for dossiers, tasks, and follow-up. Use the one you already have. The point is to actually use it.
Four Guardrails
The rules that keep AI helping you instead of exposing you.
HUD has confirmed the Fair Housing Act covers AI-driven ad targeting. Describe the home, never the "ideal buyer." Keep targeting broad and documented.
No Social Security numbers, full contracts, bank statements, or NDA-covered details in consumer AI. Sanitize before you paste.
AI drafts and surfaces; you decide and send. Read every word before it reaches a client.
Don't promise "AI-perfect pricing." Promise process, transparency, and accountability. You own the output, mistakes included.
