The whole play, at a glance
You walk away with: your database sorted into segments that mean something, a written campaign for the segment that matters most this month, and a tagged spreadsheet imported back into your CRM. No integration, no settings, no IT help.
What you'll need
Your AI Second Brain workspace set up, with training turned off.
A CSV export from your CRM: name, type of contact, last contact date, and any notes column. Most CRMs export from the contacts list screen.
The setup
Open your contacts list, select all (or one smart list), and export. Every CRM has this; search its help for "export contacts" if you've never used it.
Open the file and delete columns you'd never want outside your CRM: birthdays paired with full addresses, financial notes, anything sensitive. Keep name, contact type, last contact date, and general notes.
Attach the file in your workspace chat and run the Segmenter prompt from the Prompts section below.
What a good start looks like: the file attached, and the assistant confirming columns and count before touching anything.
Check the counts and the example contacts it shows from each segment. Move anyone the AI mis-bucketed.
Point the Campaign Builder prompt at the segment you care about most this month. Read every message; you send, not the AI.
Ask for the updated CSV with a "segment" column, download it, and import it back into your CRM as tags. Now your CRM knows what your AI figured out.
The file you import back: identical to your export, plus one new segment column your CRM turns into tags.
The prompts
The SegmenterSorts every contact and hands back a tagged file
You are my database strategist. I've uploaded a CSV export from my CRM. 1. Tell me what columns you see and how many contacts, so I can confirm you read it right. 2. Segment every contact into exactly one of: PAST CLIENT - DUE FOR TOUCH (no contact in 90+ days), ACTIVE OPPORTUNITY, REFERRAL PARTNER, COLD - ONE MORE TRY, ARCHIVE. Use the notes and last-contact columns to decide. 3. Show me the counts per segment and 3 example contacts from each so I can sanity-check your logic. 4. Then produce a downloadable CSV identical to my upload plus one new "segment" column, so I can import it back into my CRM as tags. Do not invent data. If a contact is missing the info you need, put them in a NEEDS REVIEW segment instead of guessing.
The Campaign BuilderThree touches over 30 days, in your voice
Using the [SEGMENT NAME] segment from the file above, build me a 3-touch campaign for the next 30 days. For each touch: the channel (text, email, or call), the day it goes out, and the full message written in my voice from my Agent Profile. Texts under 300 characters. Emails under 150 words with a subject line. Rules: value first, no hard pitch until touch 3, every message must read like it came from one human to one human. Fair-housing safe. Flag any contact in the segment where the notes suggest the campaign doesn't fit, so I can pull them out.
Watch-outs
Sanitize before you upload, every time. No financial details, no sensitive notes. The delete-a-column habit is the whole privacy game here.
Check your brokerage's data policy before uploading contact lists to any outside tool.
Texting rules still apply. Messages to people who opted out, or cold texts at scale, can violate telemarketing law. Send to people who know you.
You send, not the AI. This play drafts and organizes. Loading and sending happen in your CRM, where unsubscribes and compliance live.
