The setup
In your assistant's settings, find the data or privacy controls and turn off "improve the model with my data" (the wording varies by tool). Business accounts usually default to off.

The AI interviews you, then writes your Agent Profile: a one-page document describing your business, voice, and rules. The prompt is in the Prompts section below; copy it into a fresh chat and answer honestly.
If it says you're "high-energy" and you're not, every future draft will be off. Edit until it reads true.
ChatGPT calls it a Project or custom GPT, Claude calls it a Project, Gemini calls it a Gem. Create one named "My Real Estate Business" and paste the Agent Profile into its instructions or knowledge area.
Inside the workspace, ask for a short sphere email about staying in touch over the summer. Judge one thing only: does it sound like you? If not, edit the profile and test again.

You are helping me build my "Agent Profile" - a one-page document that will live in my AI workspace so every future draft matches my business and voice. Interview me one question at a time. Cover: 1. My market: the areas and price points I actually work, and the ones I'm trying to grow. 2. My clients: past clients, sphere, referral partners - who my business really comes from. 3. My voice: ask me to paste 2-3 things I've written that sound like me (emails, posts, texts). Analyze the tone and describe it in plain words. 4. My rules: things I never say, words I hate, formats I prefer, how formal I am by channel (text vs email vs social). 5. My standing guardrails: fair-housing safe language always (describe homes and lifestyle, never the "ideal buyer"), no private client data, and I review everything before it goes out. When the interview is done, write the Agent Profile as a clean one-page document with these headings: Market, Clients, Voice, Rules, Guardrails. Keep it under 400 words so it's easy to maintain.

Watch-outs
No client private data in the profile. The profile describes your business, not your clients. Names, addresses, and deal details stay out.
One profile, one home. Keep the master copy in a document you own (notes app, drive). Paste it into workspaces. Don't let five slightly different versions drift apart.
Your brokerage may have an AI policy. Check it before you connect tools or upload data. Five minutes now saves a hard conversation later.
